SEO Report Sample (2026): A Real, Annotated Monthly Report + Free Template for US Businesses
Table of Contents
ToggleMost “SEO report samples” online are screenshots of a reporting tool with demo data. This page is different: it shows a complete monthly SEO report, section by section, explains what every number means, flags what should worry you, and gives you a copy-ready template for Word, Google Docs, Sheets and Looker Studio. It is written for US business owners checking an agency’s work, for marketers building their first client report, and for agencies that want white-label reports they can send under their own brand.
SEO Report Sample in 40 Words
Key takeaways
- Business results first: organic leads, sales or calls belong on page one — rankings and backlinks come later.
- Two free sources power most reports: Google Search Console (clicks, impressions, CTR, position) and Google Analytics 4 (sessions, key events, revenue).
- 2026 reports need an AI-search section: citations in Google AI Overviews, ChatGPT, Perplexity and Copilot are now part of search visibility.
- Every chart needs a sentence: what changed, why, and what happens next month. A report without commentary is a data dump.
- Monthly is the right rhythm for most US small and mid-size businesses, with a quarterly business review on top.
- You should own your data: the agency gets access to your GA4 and Search Console — never the other way round.

The Complete SEO Report Sample (Annotated)
Below is a full monthly report for a fictional US business — “Harbor Lane Dental”, a three-location dental practice in Austin, Texas — in month 7 of an SEO engagement. The numbers are illustrative but realistic for a local service business. Under each section we explain how to read it, what a red flag looks like, and one practical tip.
Section 1 — Cover and executive summary
Monthly SEO Report — September 2026
Harbor Lane Dental (sample) · Prepared by Digital Masters 360 · Period: Sep 1–30, 2026 vs Aug 2026 and Sep 2025
Summary: Organic search produced 148 appointment requests (+21% month on month), the best month of the engagement. The growth came from the new “emergency dentist Austin” page (now position 3) and the Round Rock location page. CTR dipped slightly because impressions grew faster than clicks — mostly new rankings on page 2 and AI Overview queries.
One issue: 38 location-page URLs were “Crawled – currently not indexed” after the September template change; fixed on Sep 24, re-check in October.
Decision needed from you: approve the $0 budget change to move two blog posts per month into service-page updates (details in Section 12).
How to read it
The summary should fit on one screen and answer three questions in under 90 seconds: did SEO make the business money this month, what caused the change, and what do you need to decide? Notice it compares against both last month (MoM) and the same month last year (YoY) — YoY removes seasonality, which matters a lot for dentists, tax firms, HVAC and retail.
Red flag
A summary that only lists rankings (“we now rank for 412 keywords!”) with no leads, calls or revenue. Ranking counts go up easily on irrelevant terms.
Tip
Ask your agency to put a “decision needed” line in every summary. It turns the report from a status update into a meeting agenda.
Section 2 — KPI scorecard against targets
| KPI | Sep 2026 | Target | Status | Source |
|---|---|---|---|---|
| Organic appointment requests (GA4 key event) | 148 | 130 | ✓ Ahead | GA4 |
| Organic calls | 312 | 300 | ✓ Ahead | CallRail + GBP |
| Organic revenue estimate | $71,040 | $62,400 | ✓ Ahead | CRM × avg. patient value |
| Non-brand clicks | 6,210 | 6,500 | — Slightly behind | GSC (brand filter) |
| Top-3 rankings, priority keywords | 14 / 30 | 15 / 30 | — On track | Rank tracker |
| Pages passing Core Web Vitals | 96% | 95% | ✓ Ahead | GSC CWV report |
How to read it
A scorecard only works if targets were agreed before the month started. Separate brand clicks (people searching your name) from non-brand clicks (new customers finding you) — non-brand growth is the clearest proof SEO is working.
Section 3 — Organic traffic and Search Console performance
| Metric | Aug 2026 | Sep 2026 | Change | Sep 2025 | YoY |
|---|---|---|---|---|---|
| Clicks | 9,030 | 9,840 | +9% | 6,120 | +61% |
| Impressions | 349,000 | 412,000 | +18% | 198,000 | +108% |
| CTR | 2.6% | 2.4% | −0.2 pts | 3.1% | −0.7 pts |
| Average position | 14.2 | 13.1 | +1.1 | 19.8 | +6.7 |
| GA4 organic engaged sessions | 7,410 | 8,120 | +10% | 5,030 | +61% |
| GA4 engagement rate (organic) | 64% | 66% | +2 pts | 58% | +8 pts |
How to read it
Search Console tells you what happened on Google (before the click). GA4 tells you what happened on your site (after the click). Expect them not to match exactly — they count differently, and cookie consent and ad blockers reduce GA4 numbers. Falling CTR alongside rising impressions is usually fine: you are appearing for more searches, including lower positions and queries where an AI Overview answers first.
Red flag
Traffic graphs that use “all channels” or “total users” instead of organic search only — paid ads and email can hide an SEO decline.
Section 4 — Keyword rankings (priority keywords only)
| Keyword | Monthly US searches* | Aug | Sep | Change | Ranking URL |
|---|---|---|---|---|---|
| emergency dentist austin | 1,300 | 7 | 3 | ▲4 | /emergency-dentist-austin/ |
| dental implants austin | 880 | 9 | 8 | ▲1 | /dental-implants/ |
| dentist round rock | 1,600 | 12 | 6 | ▲6 | /locations/round-rock/ |
| invisalign cost austin | 390 | 4 | 4 | — | /invisalign/cost/ |
| teeth whitening near me | local | Map pack 2 | Map pack 1 | ▲1 | Google Business Profile |
| same day crown | 720 | 18 | 21 | ▼3 | /crowns/ |
How to read it
Look for 20–50 priority keywords tied to services you sell, not a list of 1,000. Each row should show the ranking URL — if two pages swap places for the same keyword, that is keyword cannibalization. Map-pack positions should be tracked separately from organic positions because local results depend on where the searcher is standing.
Red flag
Rankings with no search volume or no link to a service — or rankings reported only as an “average position” across thousands of terms.
Section 5 — Top landing pages
| Page | Organic sessions | Key events | Conv. rate | Action |
|---|---|---|---|---|
| /emergency-dentist-austin/ | 1,940 | 41 | 2.1% | Add after-hours phone CTA above fold |
| /locations/round-rock/ | 1,210 | 33 | 2.7% | Copy layout to Cedar Park page |
| /dental-implants/ | 980 | 12 | 1.2% | Add pricing FAQ + financing block |
| /blog/tooth-pain-at-night/ | 2,630 | 4 | 0.2% | Add internal link to emergency page |
How to read it
High traffic with low conversions (like the blog post above) is not a failure — it is an opportunity. Every row should end in an action.
Section 6 — Conversions and revenue from organic search
In GA4, “conversions” were renamed key events. The report should name exactly which key events count (e.g., appointment_request, click_to_call, purchase) and how revenue is estimated. For lead-gen businesses, the honest method is: organic leads from the CRM × close rate × average customer value — stated in the report so you can check it.
Sample attribution note
“Revenue estimate = 148 organic requests × 60% show-and-book rate × $800 average first-year patient value = $71,040. Close rate taken from your CRM, August–September.”
Red flag
Revenue numbers with no formula, or “potential traffic value” presented as money you earned.
Section 7 — Technical SEO health
| Check | Status | Detail | Owner |
|---|---|---|---|
| Indexing (GSC Pages report) | Fixed | 38 location URLs not indexed after template change — canonical bug fixed Sep 24 | DM360 |
| Core Web Vitals (mobile) | Pass | LCP 2.1s · INP 160ms · CLS 0.04 (field data) | — |
| Crawl errors / 404s | 3 open | Old /specials/ URLs — 301 redirects scheduled | Client web team |
| XML sitemap | OK | Submitted, 214 URLs, 0 errors | — |
| Structured data | Warning | Dentist schema missing priceRange on 2 locations | DM360 |
| HTTPS / security issues | OK | No manual actions or security issues | — |
How to read it
Technical health should be a short status table, not a 60-page crawl export. Every open issue needs an owner and a date. The Core Web Vitals “good” thresholds are LCP ≤ 2.5 seconds, INP ≤ 200 milliseconds and CLS ≤ 0.1, measured on real users.
Tip
Ask for field data (from Search Console or the Chrome UX Report), not just a one-off PageSpeed lab score — lab scores change every time you run them.
Section 8 — Backlinks and digital PR
| Metric | Sep 2026 | Note |
|---|---|---|
| New referring domains | 9 | Includes Austin Business Journal feature, 2 local sponsorships |
| Lost referring domains | 2 | Expired directory listings |
| Links to priority pages | 4 | 2 to emergency page, 2 to Round Rock page |
| Unnatural links found | 0 | No action needed |
Red flag
“We built 150 links this month” with no list of domains. Ask to see every link. Bulk links from unrelated sites can lead to a manual action.
Section 9 — Local SEO (Google Business Profile)
| GBP metric | Aug | Sep | Change |
|---|---|---|---|
| Calls from profile | 201 | 226 | +12% |
| Direction requests | 388 | 410 | +6% |
| Website clicks | 512 | 590 | +15% |
| New reviews (avg. rating) | 23 (4.8) | 31 (4.9) | +8 |
| Map-pack top-3, tracked grid points | 61% | 68% | +7 pts |
For multi-location US businesses, ask for results per location. A geo-grid (rankings checked from many points around each office) shows where you are visible and where competitors win.
Section 10 — AI search visibility (GEO / AEO)
In 2026 a growing share of searches end in an AI answer. A modern report tracks a fixed set of prompts each month and records whether your brand is cited or mentioned.
| Prompt (tracked monthly) | Google AI Overview | ChatGPT search | Perplexity | Copilot |
|---|---|---|---|---|
| best emergency dentist in Austin | Cited | Mentioned | Cited | — |
| how much do dental implants cost in Texas | Cited | — | Cited | Cited |
| is invisalign worth it for adults | — | — | Mentioned | — |
| Total (40 prompts) | 6 citations | 2 | 3 | 0 |
How to read it
AI answers vary by user and day, so treat this as a trend, not an exact count. Google includes AI Overview appearances within normal Search Console performance data, so there is no separate “AI Overview clicks” number from Google — trackers fill that gap. What earns citations: clear direct answers, original data, consistent business details across the web, and strong reviews.
Section 11 — Work completed this month
- Published: emergency dentist Austin page refresh (1,850 words, FAQ, after-hours CTA).
- Updated: 3 location pages with doctor bios, parking info and Dentist schema.
- Technical: fixed canonical bug affecting 38 URLs; requested reindexing.
- Off-page: 9 new referring domains; 31 review requests sent via SMS workflow.
- Meetings: Sep 8 strategy call (Zoom, 30 min); Sep 22 Slack check-in.
Red flag
A task list with no link to results, or the same vague tasks (“on-page optimization”) every month.
Section 12 — Next month’s plan and decisions
| Priority | Action | Expected impact | Needs from you |
|---|---|---|---|
| 1 | Shift 2 blog posts/month into service-page upgrades | More leads from existing rankings | Approval (no budget change) |
| 2 | Build Cedar Park page using Round Rock layout | New location rankings in 60–90 days | Photos + doctor bio |
| 3 | Add implant pricing FAQ + financing block | Higher conversion on /dental-implants/ | Confirm price range |
| 4 | Expand AI prompt tracking to 60 prompts | Better GEO visibility data | — |
What Is an SEO Report?
An SEO report is a regular summary of how a website performs in organic (unpaid) search — on Google, Bing and, increasingly, AI answer engines — and what the SEO team did about it. It connects search data to business results and sets the plan for the next period.
Who reads an SEO report?
- Business owners and CEOs: page one only — leads, revenue, decisions.
- Marketing managers: channel comparison, content and campaign performance.
- Web developers: technical issues with owners and deadlines.
- Agencies reselling SEO: a white-label version they can send to their own clients.
SEO report vs SEO audit vs SEO dashboard
| SEO report | SEO audit | SEO dashboard | |
|---|---|---|---|
| Purpose | Show progress and decide next steps | Find every problem at one point in time | Live data, any time |
| Frequency | Monthly / quarterly | Once, then yearly | Always on |
| Length | 8–15 pages | 30–100+ pages | 1–5 screens |
| Commentary | Yes — the most important part | Yes — prioritized fixes | Usually none |
| Best for | Accountability | Starting an engagement | Day-to-day checks |
The best setup is all three: an audit at the start, a live Looker Studio dashboard you can open any time, and a monthly report where a human explains what the dashboard means.
12 Types of SEO Report Samples (and When to Use Each)
| Report type | Who it’s for | Frequency | Must include |
|---|---|---|---|
| Monthly SEO report | Every SEO client | Monthly | Summary, KPIs, traffic, rankings, conversions, tech, links, work, plan |
| Weekly snapshot | Fast-moving sites, launches | Weekly | Clicks, key events, alerts only — 1 page |
| Quarterly business review (QBR) | Owners, leadership | Quarterly | ROI, YoY trends, strategy changes, budget |
| SEO audit report | New clients, migrations | Once / yearly | Prioritized issues, impact × effort |
| Technical SEO report | Developers | Monthly | Indexing, CWV, crawl, redirects, schema |
| Local SEO report | Multi-location businesses | Monthly | GBP actions, map-pack grid, reviews, citations |
| Ecommerce SEO report | Online stores | Monthly | Revenue, product/category pages, feeds, out-of-stock |
| Content performance report | Content teams | Monthly | New/updated pages, decay, gaps, conversions |
| Backlink / digital PR report | PR + link teams | Monthly | Referring domains, links to money pages, lost links |
| AI search visibility (GEO) report | Brands in AI answers | Monthly | Tracked prompts, citations, mentions, sentiment |
| Competitor SEO report | Strategy | Quarterly | Share of voice, content gaps, link gaps |
| White-label SEO report | Agencies reselling SEO | Monthly | Your agency’s brand, no supplier details |
SEO audit report sample: what’s different
An audit report sample ranks every issue by impact × effort, for example: “High impact / low effort — 38 location pages not indexed (fix canonical tag)”. It ends with a 90-day roadmap rather than a monthly plan.
Pre-analysis SEO report sample
A pre-analysis (or “pre-sales”) report is what an agency sends before you sign: current visibility, top competitors, quick wins and a realistic forecast. If an agency promises guaranteed #1 rankings in a pre-analysis, walk away — Google says nobody can guarantee a #1 ranking.
What to Include in an SEO Report: KPIs That Matter in 2026
| KPI | Where it comes from | Why it matters | Vanity risk |
|---|---|---|---|
| Organic key events / leads / sales | GA4 + CRM | Direct business impact | Low |
| Organic revenue | GA4 ecommerce / CRM | Proves ROI | Low (if formula shown) |
| Non-brand clicks | Search Console | New customers finding you | Low |
| Impressions | Search Console | Early sign of growing visibility | Medium |
| CTR | Search Console | Title/description quality | Medium |
| Priority keyword positions | Rank tracker | Progress on money terms | Medium |
| Total ranking keywords | Semrush / Ahrefs | Broad visibility | High |
| Domain Rating / Authority | Third-party tools | Rough link strength | High |
| Core Web Vitals | Search Console / CrUX | User experience, ranking signal | Low |
| Indexed pages | Search Console Pages report | Pages eligible to rank | Low |
| AI citations / mentions | AI visibility tracker | Visibility in AI answers | Medium (volatile) |
| GBP calls, directions, reviews | Google Business Profile | Local revenue | Low |
GA4 metrics to use (and the ones to drop)
Use engaged sessions, engagement rate, key events and revenue, filtered to the “Organic Search” channel group. Drop old Universal Analytics terms like “bounce rate” as a headline KPI (in GA4 it is simply the opposite of engagement rate) and “goal completions” (now key events).
Search Console metrics
Clicks, impressions, CTR and average position — always with the brand/non-brand split. Use the Pages report for indexing and the Core Web Vitals report for real-user speed data.
Search Console data limits to mention in the report
Search Console keeps 16 months of performance data, hides some rare (anonymized) queries, and the web interface exports limited rows. For long-term YoY comparisons, export monthly or connect the free bulk export to BigQuery.
Metrics for AI search (GEO, AEO, LLMO)
- Citation rate: share of tracked prompts where your page is linked as a source.
- Mention rate: share of prompts where your brand is named without a link.
- AI referral sessions: GA4 sessions from chatgpt.com, perplexity.ai, copilot.microsoft.com and gemini.google.com (set up a custom channel group).
- Answer accuracy: is the AI describing your prices, services and locations correctly?
How to Create an SEO Report in 10 Steps
Step 1: Agree goals and KPIs before month one
Pick 3–5 business KPIs (leads, sales, calls) and 20–50 priority keywords. Write the targets down.
Step 2: Connect your data sources
Give the SEO team access to GA4 (Viewer or Analyst), Search Console (Full user), Google Business Profile (Manager) and your rank tracker. Keep ownership yourself.
Step 3: Set up key events and channel groups
Mark form submits, calls and purchases as key events in GA4; add an AI-referrals channel group.
Step 4: Build a live dashboard
Use Looker Studio (free) or a reporting tool so data refreshes automatically.
Step 5: Choose a fixed report structure
Use the 12 sections in the sample above so every month is comparable.
Step 6: Pull the data on the same day each month
We recommend the 3rd business day, so Search Console data (2–3 days delayed) is complete.
Step 7: Compare MoM and YoY
Month over month shows momentum; year over year removes seasonality.
Step 8: Write the commentary
For every chart: what changed, why, and what you will do. This is the part clients value most.
Step 9: Add work completed and next month’s plan
List deliverables with links, then 3–5 priorities with owners.
Step 10: Send, then walk through it
Email the PDF/link and hold a 20–30 minute Zoom call. Record decisions in the report.

SEO report template in Excel or Google Sheets
Use one tab per section, a “Raw data” tab for exports, and a “Summary” tab that pulls from the others with formulas. Sheets is ideal for keyword and backlink tables; it is weak for presenting to executives.
Looker Studio SEO report template
Connect the free Search Console and GA4 connectors, add a brand/non-brand filter with a regex of your brand names, and create pages for Overview, Queries, Landing pages and Technical. Then add a text box for commentary on every page — most free templates skip this.
SEO Report Formats Compared: Word, PDF, Sheets, Slides or Looker Studio?
| Format | Best for | Pros | Cons |
|---|---|---|---|
| Owners, monthly record | Fixed layout, easy to archive and share | Static; no drill-down | |
| Word / Google Docs | Commentary-heavy reports | Easy to edit, track changes | Charts need pasting |
| Excel / Google Sheets | Keyword, link and audit lists | Sortable, formulas | Hard for executives to read |
| PowerPoint / Slides | QBRs, board meetings | Story-led, presentable | Time-consuming to update |
| Looker Studio | Live dashboards | Free, auto-refresh, GA4/GSC connectors | No commentary unless added |
| Reporting tools (AgencyAnalytics, DashThis, Whatagraph, Swydo) | Agencies with many clients | Templates, white-label, scheduling | Monthly subscription per client/seat |
SEO Reporting Tools Compared
| Tool | Type | Best for | White-label | Notes |
|---|---|---|---|---|
| Looker Studio | Free dashboard | Anyone using GA4 + GSC | Partial (your logo) | Free; third-party connectors may cost extra |
| Semrush | SEO suite | Rank tracking, audits, competitor data | On higher plans | Strong keyword + site audit data |
| Ahrefs | SEO suite | Backlinks, content gaps | Limited | Excellent link index |
| AgencyAnalytics | Agency reporting | Many clients, client portal | Yes | Per-client pricing |
| DashThis | Reporting | Simple monthly dashboards | Yes | Many integrations |
| Whatagraph | Reporting | Multi-channel agency reports | Yes | Visual templates |
| Swydo | Reporting | PPC + SEO agencies | Yes | Scheduled PDF reports |
| SE Ranking | SEO suite | Budget rank tracking + reports | Yes | Lower cost suite |
You do not need a paid reporting tool to get a good SEO report. You need clean data and a person who explains it. Tools save time when an agency manages many clients.
How to Read an Agency’s SEO Report: A Buyer’s Checklist
If you pay for SEO, the monthly report is how you check value. Use these questions on your next report.
Seven questions to ask every month
- How many leads, calls or sales came from organic search, and how does that compare with last year?
- How much of the growth is non-brand?
- Which pages drove the results, and why?
- What did you actually change on the site this month? Show me the links.
- Which last-month priorities were completed, and which slipped?
- Are we showing up in AI answers for our main services?
- What do you need from us to hit next month’s target?
Red flags in an SEO report
| Red flag | Why it matters | What to ask for |
|---|---|---|
| No conversions or leads anywhere | Traffic without business value | GA4 key events filtered to organic |
| Only total keyword counts | Easy to inflate with irrelevant terms | 20–50 priority keywords with URLs |
| “Traffic value” shown as revenue | It’s an ad-cost estimate, not money earned | Real revenue or a stated lead-value formula |
| No comparisons | Can’t judge progress | MoM and YoY columns |
| Same tasks every month | Possible low effort | Deliverables with links |
| Agency owns your GA4/GSC | You lose history if you leave | Transfer ownership to your company account |
| Hundreds of new links, no list | Possible spam links | Full referring-domain list |
| No next steps | No strategy | 3–5 priorities with owners |
How long should an SEO report be?
Typically 8–15 pages for a monthly report: 6–8 for a single-location local business, longer for ecommerce or multi-country sites. Length is not quality — a one-page summary plus clear appendices beats 40 pages of screenshots.
How often should you get one?
| Business type | Report | Call |
|---|---|---|
| Local service business | Monthly | Monthly 20 min |
| Ecommerce | Monthly + weekly snapshot in peak season | Monthly |
| B2B / SaaS | Monthly + QBR | Monthly + quarterly |
| Enterprise / multi-country | Monthly per market + QBR | Bi-weekly |
SEO Report Samples by Industry
Local service business (dentists, HVAC, law firms, home services)
Lead with calls and form fills per location, Google Business Profile actions, reviews and map-pack grids. Track “near me” and city + service keywords.
Ecommerce SEO report sample
Lead with organic revenue, transactions and average order value. Report category and product pages separately, plus Merchant Center free listings, out-of-stock pages and faceted-navigation indexing.
B2B and SaaS SEO report sample
Lead with demo requests, trial sign-ups and pipeline from organic (from the CRM). Report bottom-of-funnel pages (pricing, comparison, “alternatives”) separately from blog traffic.
Multi-country SEO report sample (US, UK, Canada, Australia)
Report each market separately using Search Console country filters or one property per country folder (/us/, /uk/, /au/). Add an hreflang health check: missing return tags and wrong language-region codes are the most common errors.
Spelling and currency in international reports
Report in the client’s currency (USD, GBP, EUR, AUD, CAD, NZD) and spelling. UK and Australian clients expect “optimisation” and “analyse”; US and Canadian clients usually expect “optimization”.
Offshore SEO Reporting: What US, UK and Australian Buyers Should Know
Digital Masters 360 is based in Hyderabad, India, and works 100% online with clients in the US, Canada, the UK, Europe, Australia, New Zealand, Singapore, Japan and Hong Kong. If you are considering an offshore SEO agency, here is exactly how cost, communication, privacy, contracts and reporting work.
Cost: offshore SEO with monthly reporting vs local agencies
| Plan (includes monthly report + live dashboard) | USD | GBP | EUR | AUD |
|---|---|---|---|---|
| Starter — 1 location / up to 20 priority keywords | $649/mo | £495/mo | €575/mo | A$990/mo |
| Growth — up to 3 locations / 50 keywords / AI tracking | $1,249/mo | £950/mo | €1,100/mo | A$1,890/mo |
| Scale — multi-country, ecommerce, QBRs | $2,390/mo | £1,800/mo | €2,090/mo | A$3,590/mo |
| One-off SEO audit report | $990 | £750 | €870 | A$1,490 |
| White-label SEO + reports (agencies) | from $499/mo | from £395/mo | from €460/mo | from A$790/mo |
Local US agencies commonly publish retainers in the low-to-mid thousands of dollars per month for comparable small-business scope; offshore delivery typically saves 40–70% because salaries and office costs in Hyderabad are lower — not because less work is done. Compare deliverables line by line, not just the price.
What every plan includes
- Monthly report in the 12-section format above, in your currency and spelling
- Live Looker Studio dashboard you own
- Monthly Zoom walkthrough
- Shared Slack or Microsoft Teams channel
- No setup fee; 30-day notice to cancel

Data privacy and compliance in SEO reporting
Good news first: most SEO report data — Search Console clicks, GA4 aggregates, rankings — is aggregated and not personal data. Personal data enters only if a report uses CRM leads, call recordings or form entries. Our rule: reports show counts, not people.
United States: CCPA/CPRA and state privacy laws
We sign a service-provider/contractor agreement that limits use of any personal information to delivering your services, as California’s CCPA/CPRA requires, and follow the same terms for other state laws such as Virginia, Colorado and Texas. Healthcare clients: we do not access protected health information; reports use aggregated GA4 data only.
UK GDPR and EU GDPR
We sign an Article 28 data processing agreement. For UK clients, transfers to India use the ICO’s International Data Transfer Agreement (IDTA) or Addendum; for EU clients, the European Commission’s Standard Contractual Clauses. See our Data Protection Act 2018 and UK GDPR guide.
Australia and New Zealand
For Australian clients we contract to APP-equivalent protections under APP 8 (see our Australian Privacy Principles guide); for New Zealand clients, IPP 12 and section 11 of the Privacy Act 2020. India’s own DPDP Act 2023 also applies to us as a processor.
Access principles we follow
- You own every account; we get the lowest access level that does the job (GA4 Viewer/Analyst, GSC Full user — never Owner).
- Named-user access only, with two-factor authentication on every account.
- No client data on personal devices; company-managed laptops with disk encryption.
- Reports stored in your Google Drive or our access-controlled workspace — never public links.
When the engagement ends
We remove our users from GA4, Search Console, GBP and your CMS within 2 business days and confirm in writing.
Contracts, NDAs, payments and onboarding
Contracts and NDAs
Mutual NDA before you share any data; a services agreement with scope, KPIs, reporting dates, IP ownership (you own all content and reports) and 30-day termination. We can sign under US (Delaware or your state), English or Australian law on request.
Payment methods
Invoices in USD, GBP, EUR, AUD, CAD or NZD. Pay by bank transfer (Wise or SWIFT), card via Stripe, or Payoneer. Services are exported from India under a Letter of Undertaking, so no Indian GST is added to your invoice.

SEO Report Sample FAQs
What is an SEO report sample?
An SEO report sample is an example of the monthly or quarterly document an SEO team sends to show organic search performance, the work completed and the plan for the next period. It helps you see what a good report should contain before you hire an agency or build your own.
What should be included in a monthly SEO report?
A one-page summary, a KPI scorecard against targets, Search Console and GA4 organic performance (month over month and year over year), priority keyword rankings, top landing pages, conversions and revenue, technical health, backlinks, local SEO if relevant, AI search visibility, work completed and next month’s priorities.
How do I write an SEO report for a client?
Agree KPIs first, connect GA4, Search Console and Google Business Profile, build a live dashboard, then each month pull data after the 3rd, compare MoM and YoY, write one sentence of commentary per chart, list work completed and finish with 3–5 priorities and any decisions needed.
Is there a free SEO report template?
Yes. You can copy the 12-section template on this page into Word, Google Docs or Sheets, and build a free live version in Looker Studio using the Google Search Console and GA4 connectors.
Where can I get an SEO report sample PDF?
You can download the sample on this page as a PDF, or request a free sample report built on your own website’s data from Digital Masters 360.
How long should an SEO report be?
Usually 8–15 pages for a monthly report. A single-location local business may need 6–8 pages; ecommerce and multi-country sites need more. The summary should always fit on one page.
How often should SEO reports be sent?
Monthly for most businesses, with a quarterly business review for strategy. High-traffic ecommerce sites may add a weekly one-page snapshot in peak season.
What KPIs matter most in an SEO report?
Organic leads, sales or revenue; non-brand clicks; priority keyword positions; organic conversion rate; indexed pages; Core Web Vitals; and, in 2026, AI search citations.
What is the difference between an SEO report and an SEO audit?
An SEO report tracks progress over a period and sets next steps. An SEO audit is a one-time deep review that lists every issue on a site and ranks fixes by impact and effort.
Which tools are used to create SEO reports?
Most reports use Google Search Console, GA4 and Looker Studio (all free), plus a rank tracker or suite such as Semrush, Ahrefs or SE Ranking. Agencies with many clients often use AgencyAnalytics, DashThis, Whatagraph or Swydo.
Should an SEO report include AI search visibility?
Yes. In 2026 many searches end in an AI Overview or chatbot answer, so reports should track whether your brand is cited for a fixed set of prompts in Google AI Overviews, ChatGPT, Perplexity and Copilot.
What are red flags in an agency’s SEO report?
No leads or sales, only total keyword counts, ‘traffic value’ shown as revenue, no comparisons, the same tasks every month, unexplained bulk links, no next steps, and the agency owning your Google accounts.
Why do GA4 and Search Console numbers not match?
Search Console counts clicks on Google; GA4 counts sessions on your site. Consent banners, ad blockers, redirects and different time zones mean they never match exactly. Watch the trends, not the gap.
How much does SEO with monthly reporting cost?
Digital Masters 360 plans start at $649, £495, €575 or A$990 per month, including the monthly report, a live dashboard and a monthly call. A one-off SEO audit report is $990 / £750 / €870 / A$1,490.
Is it safe to outsource SEO reporting to India?
Yes, if the agency signs an NDA and a data processing or service-provider agreement, uses least-privilege access to your accounts, reports aggregated data only and lets you keep ownership of GA4, Search Console and Google Business Profile.
Can agencies get white-label SEO reports?
Yes. We deliver the SEO work, monthly report and dashboard under your agency’s brand, with an NDA and non-solicitation clause, from $499 / £395 / €460 / A$790 per client per month.
