An email marketing format is the fixed structure of a promotional or newsletter email: a recognisable sender name, a subject line under about 45 characters, a preheader, a logo header, one headline, short body copy, one clear call-to-action button, and a footer with your address and an unsubscribe link. Build it single-column, 600–640 px wide, under 102 KB of HTML, mobile-first, with a plain-text version.

What Is an Email Marketing Format?
An email marketing format is the repeatable layout and writing structure a business uses for emails sent to many people at once, such as offers, newsletters, product launches and festive greetings. It decides what goes where: who the email is from, what the inbox shows before opening, what the reader sees first, where the button sits and what the footer must contain.
Think of it as the skeleton. The words, offer and design change every campaign; the skeleton stays the same, so your team can write faster, your emails look consistent, and inbox providers such as Gmail see a sender that behaves predictably.
Email marketing format vs company email ID format
Many Indian searches for "email format" are really looking for a company's email address pattern (for example firstname.lastname@company.com). That is a sales-prospecting question, not a marketing one. This guide covers the format of the marketing email itself. - Phone-first reading: for most Indian consumer lists, the majority of opens happen on Android phones in the Gmail app, often on mid-range screens and patchy 4G. Heavy images and tiny text lose readers.
- Crowded inboxes: Gmail sorts most brand mail into the Promotions tab. Your sender name, subject and preheader are all people see before deciding.
- Mixed languages: many audiences respond better to English with a Hinglish or regional-language touch. The format must handle Devanagari, Telugu or Tamil script cleanly.

The Standard Email Marketing Format: 12 Parts of a High-Converting Marketing Email
Every marketing email we build for clients follows these 12 parts in this order. Parts 1–3 win the open, parts 4–10 win the click, and parts 11–12 protect deliverability and trust.
1Sender name
Use a name people recognise within a second: your brand ("Kalanjali Sarees"), or person plus brand ("Ravi from DM360") for B2B and founder emails. Keep it identical across campaigns.
Rules for the sender name
- Under about 25 characters so it doesn't truncate.
- No "noreply" style names; they look automated and discourage replies.
- Don't switch between brand and person every week; inconsistency lowers trust and open rates.
2From address and sending domain
Send from your own domain (hello@yourbrand.in), never a free Gmail or Yahoo address, and authenticate it with SPF, DKIM and DMARC. Many teams use a subdomain such as news.yourbrand.in for marketing so transactional mail (OTPs, invoices) keeps its own reputation.
3Subject line
The subject line is a promise. Aim for 30–45 characters with the key word in the first half, because phone inboxes cut the rest. Use numbers, ₹ values, dates and names; avoid ALL CAPS and "!!!".
4Preheader (preview text)
The grey line after the subject in the inbox. If you leave it blank, the inbox shows whatever text comes first, often "View in browser". Write 40–90 characters that add a second reason to open, not a repeat of the subject.
5Header with logo
A slim header (logo left or centred, 60–90 px tall) confirms who sent the email. Link the logo to your homepage and add alt text with your brand name.
6Hero: headline or image
The first screen on a phone must say what the email is about. Use a live-text headline (not text baked into an image) so it still shows when images are blocked and so AI summaries can read it. If you use a hero image, keep key text as real HTML beneath it.
7Personalised opening line
One or two sentences that connect to the reader: their name, city, last purchase or the reason they signed up. "Hi Priya, your Hyderabad delivery slot for Diwali is still open" beats a generic "Dear Customer".
8Body copy
Short blocks of 2–3 lines each, following benefit → proof → details. Use bullet points for features, bold for the one fact that matters, and 16 px body text. Most promotional emails work best at 50–200 words; newsletters can go longer if well sectioned.

9Call-to-action (CTA) button
One main action per email, written as a verb plus outcome: "Book my site visit", "Get the ₹999 plan", "Download the brochure". Make it a coded (bulletproof) button at least 44 px tall so it works with images off and is easy to tap. You may repeat the same CTA lower down; don't add a second, different goal.
10Trust and proof block
A short review, rating, customer count, delivery promise, COD/UPI options, or regulatory details (GSTIN, FSSAI, RERA, ARN, BIS hallmark) where relevant. In India this block often lifts clicks because it answers "is this brand genuine?"
11Footer
Your registered business name and postal address, why the reader is receiving the email ("You subscribed at yourbrand.in"), contact details, a preference-centre link, and a clear unsubscribe link. Big senders to Gmail and Yahoo must also support one-click unsubscribe in the email headers.
12Plain-text version
Every HTML email should carry a plain-text alternative. Most email tools create it automatically; check it reads well, because some clients, watches and accessibility tools use it.

Email width: why 600 px is still the standard
Desktop reading panes in Outlook and Gmail sit roughly 600–700 px wide. A 600–640 px container that switches to 100% width on screens under about 480 px gives you one design that works everywhere.
Images: format, size and alt text
- JPG for photos, PNG for logos and flat graphics, GIF for simple animation (keep under ~1 MB and put the key message in frame 1, because classic Outlook for Windows shows only the first frame).
- WebP is not reliably supported in every email client yet; stick to JPG/PNG for safety.
- Write alt text on every meaningful image ("Gold-plated temple jhumkas, ₹1,499") so the message survives when images are off.
Fonts and typography
Use your brand font with a safe fallback stack. Keep to two font sizes for body and one for headings. For Hindi, Telugu, Tamil or other Indian scripts, use live text with a fallback such as "Noto Sans"; don't place regional-language text inside images, because it can't be read by screen readers or AI summaries and can't be searched.
Buttons
Build buttons in HTML/CSS (a "bulletproof" button) instead of images so they show with images off. Use high-contrast colours and leave white space around them.
Dark mode
Gmail, Apple Mail and Outlook can invert colours in dark mode. Use transparent PNG logos with a light outline or a version for dark backgrounds, avoid pure black text on pure white in images, and test in both modes.

Subject line rules
- Front-load the key words; phones show roughly the first 30–45 characters.
- One emoji at most, and only if it adds meaning (🪔 for Diwali, 📦 for delivery).
- No ALL CAPS, no "!!!", no misleading "Re:" or "Fwd:".
- The subject must match what's inside. Misleading subject lines break Indian advertising norms and increase spam complaints.
Preheader rules
- 40–90 characters that add a second reason to open.
- Never repeat the subject. Never leave it blank.
- If your tool doesn't have a preheader field, add a hidden preview-text line as the first element of the HTML.

India Compliance: What Your Email Marketing Format Must Include
A good format builds compliance in, so no campaign goes out without it. This is general information, not legal advice; check with your legal adviser for your situation.
DPDP Act 2023 and DPDP Rules 2025
India's Digital Personal Data Protection Act treats email addresses as personal data. Marketing should rest on clear, specific, freely given consent, and people must be able to withdraw consent as easily as they gave it. The DPDP Rules 2025 were notified in November 2025 and phase in over 18 months, with most business obligations applying from May 2027. Formatting your emails for this now means:
- A plain-language line saying why the person is receiving the email and where they signed up.
- An unsubscribe link that works in one or two clicks, with no login required.
- A contact point for data questions (for example, a privacy email address).
- No emailing lists you bought, scraped or "guessed" from company email-ID patterns.

No DLT for email
TRAI's DLT registration applies to SMS and voice messaging, not email. You don't need DLT templates for email, but consent and honest content still apply.
Consumer protection and advertising rules
- Dark patterns: India's 2023 guidelines on dark patterns list false urgency, drip pricing and hidden costs among banned practices. Don't use fake countdown timers or "only 2 left" unless true; show the full price.
- ASCI Code: claims in emails are advertising; they must be truthful and substantiated.
- Sector rules: show the RERA registration number for real estate projects, avoid cure claims for health products and services, and follow SEBI/AMFI disclosure norms for investment-related emails.
Emailing people outside India
