A WhatsApp Business introduction message is the first message a customer gets from your business on WhatsApp. In the free WhatsApp Business app it is set up as a Greeting message (Business tools → Greeting message) and is sent automatically when someone messages you for the first time or after 14 days of no chat. A good one says who you are, what you do, when you reply and what the customer should do next — in about 140 characters.

What Is a WhatsApp Business Introduction Message?
A WhatsApp Business introduction message is the first message that tells a customer who your business is and how you can help. In India, where most enquiries now start with a “Hi” on WhatsApp instead of a phone call or email, this one message decides whether the chat turns into an order, a site visit or an appointment — or goes silent.
When people search for it they usually mean one of four different messages. Knowing which one you need saves a lot of confusion:
The 4 Types of Introduction Message Indian Businesses Use
1. The automatic greeting message (WhatsApp Business app)
The built-in Greeting message is sent automatically when a customer messages you for the first time, or after 14 days of no activity in that chat. It is free, needs no coding and is what most small businesses mean by “introduction message”.
2. Your first manual reply, saved as a Quick Reply
A longer introduction — services, prices, location, catalogue link — that you or your staff send with a shortcut such as /intro. It carries the detail that a short greeting can’t.
3. The outbound introduction to a new lead or client
The message you send first: to someone who filled a form, clicked an ad, gave you their number at an expo, or was referred. This one needs the person’s permission, and on the WhatsApp Business Platform (API) it must be an approved template.
4. The group or community introduction

Greeting vs Introduction vs Away Message vs Quick Reply vs Description
Five WhatsApp Business features get mixed up. Here is what each one does and when the customer sees it:

How the Greeting Message Works: the 14-Day Rule, Recipients and Limits
The 14-day rule
According to the WhatsApp Help Center, the greeting message goes out when a customer messages you for the first time, and again when they message after 14 days of inactivity in that chat. If they wrote to you last week, they won’t get it again — which is why testing from a number that recently chatted with you seems to “not work”.

Character limit: why guides disagree
Guides quote different limits for the greeting box — 140, 250 and even 1,024 characters — and the number has shifted between app versions. The safe approach: write the greeting in 140 characters or less so it fits every build and reads fully in the chat preview without “Read more”. Put the long version in a Quick Reply. Every short example on this page shows its character count, and our generator warns you above 140.
What the app greeting can’t do
- It can’t insert the customer’s name — write it so it works without one.
- No buttons or lists — those need the WhatsApp Business Platform (API).
- One greeting per number — you can’t set different greetings per language or product.
- It won’t fire for chats active in the last 14 days, including your own test chats.
- Some businesses report the greeting stops when Meta’s Business AI assistant is switched on (launched for Indian small businesses in May 2026). If you turn on Business AI, check both settings.
How to Set Up an Introduction (Greeting) Message on WhatsApp Business
Setup takes about three minutes. Menu names move slightly between app versions, so the alternate paths are included.
On Android
- Open Business tools. Open the WhatsApp Business app. On Android tap the three dots → Business tools (on newer versions, the Tools tab). On iPhone tap Settings → Business tools.
- Choose Greeting message. Under Messaging, tap Greeting message.
- Turn it on. Switch on Send greeting message.
- Write your introduction. Tap the message box, paste your introduction (keep it within 140 characters) and tap OK or Save.
- Pick recipients. Tap Recipients and choose Everyone, Everyone not in address book, Everyone except… or Only send to…
- Save. Tap Save (Android: the tick; iPhone: Save in the top corner).
- Test it properly. Message your business number from a phone that has never chatted with it (or hasn’t for 14+ days). A recently active chat will not trigger the greeting.
- Add a Quick Reply. Go to Business tools → Quick replies and save your full introduction with a shortcut like /intro for the second message.
On iPhone
- Open WhatsApp Business → Settings (bottom right).
- Tap Business tools → Greeting message.
- Turn on Send greeting message, tap the text, paste your message.
- Set Recipients, then tap Save.
If you can’t find Business tools
You are probably in regular WhatsApp, not the WhatsApp Business app — the greeting feature only exists in the Business app. Also check under the Tools tab or Settings → Business settings on older versions, and update the app from Google Play or the App Store.
On WhatsApp Web and Desktop
Greeting messages are set in the phone app. Once set, they send even when you reply from WhatsApp Web or linked devices — the account’s settings apply everywhere. Quick replies you create on the phone also work on WhatsApp Web by typing /.
On the WhatsApp Business Platform (API)
The API has no “greeting message” switch. Your Business Solution Provider (BSP) or your own Cloud API setup replies to the customer’s first message with an automated welcome — which can use buttons, lists and the customer’s name. Replies inside the 24-hour customer service window are free-form; messages you start outside that window need a Meta-approved template. Costs are explained in our WhatsApp Business API price guide.
How to turn the greeting off or change it
Same path: Business tools → Greeting message → switch off Send greeting message, or tap the text to edit it. Changes apply to the next eligible chat.
The 5-Part Formula for an Introduction Message That Gets a Reply
After writing and testing WhatsApp messages for businesses from Hyderabad to Delhi NCR, we use one structure. You rarely need all five in the 140-character greeting — use the first three there, and all five in your Quick Reply.
Greet: sound like a person, not a system
“Namaste 🙏” or “Hi there 👋” with your name reads warmer than “Dear Customer”. In South India, a local greeting (Namaskaram, Vanakkam) lifts reply rates for local businesses.
Identify: say exactly what you sell
“Hyderabad’s home bakery for eggless cakes” beats “We provide quality products”. The customer should know within one line that they reached the right place.
Direct: give one next step
Numbered options (“Reply 1 for price, 2 for location”) work well in India because they are quick to type. Ask for one thing only — the requirement, the pincode or the preferred time.
Reassure: set a reply time you can keep
“We reply within 30 minutes, 10 am–8 pm” prevents follow-up “Hello??” messages. Don’t promise instant replies unless you can deliver them.
Trust: add one proof point
A registration number, years in business or a clear anti-fraud line (“We never ask for OTP or UPI PIN”) makes a new number feel safe — important now that fake business accounts are common.

5 rules for outbound introduction messages
- Get permission first. A form, an ad click, a card at an expo or a clear “yes, WhatsApp me” counts. A number scraped from a directory doesn’t.
